Description

RESPONSIBILITIES:

  • Organize and maintain document flow in the department (register, systematize all incoming and outgoing correspondence), send the necessary materials to the head or specific performers, in accordance with the adopted regulations.
  • Prepare the necessary documents and materials for the immediate supervisor.
  • Keep a record of meetings and negotiations of the immediate supervisor.
  • Organization and holding of phone conversations and other meetings of the immediate supervisor; register in his absence all the information received, bring to the attention of the immediate supervisor in full.
  • Prepare everything for meetings held by the direct manager (collecting the necessary materials, notifying participants of the time, place and agenda)
  • Compose letters, requests, other documents, prepare responses to letters on behalf of the immediate supervisor.
  • Monitor compliance with the deadlines for the implementation of instructions from the immediate supervisor.
  • Organize the reception of visitors, assist in the prompt consideration of requests from employees.
  • Organize business trips for the head and, if necessary, department employees (booking tickets, hotels, visas, transfers, preparing the necessary documents for business trips).
  • Perform oral and written translations on behalf of the immediate supervisor, including consecutive translation if necessary.
  • Maintain monthly timesheets for employees of the entire department and timely submit to the Human Resources and Administration Department.
  • Consolidate all necessary information for the department budget.
  • Organize the provision of stationery, consumables and other inventory items necessary for the work of the head and employees of the department.

REQUIREMENTS:

  • Higher education; preferably in Finance;
  • Previous experience 3+ years as PA or assistant preferrable ;
  • Knowledge of Kazakh, Russian, English languages at an advanced level;
  • Experience in consecutive oral and written translation;
  • Proficiency in written and oral communication;
  • Knowledge of business organization;
  • Knowledge of systematization and storage of service documentation;
  • Highly initiative, diligence, attentiveness, responsibility;
  • Computer skills (MS Word, Power Point, Excel) and office applications at the advanced user level.
