Description

RESPONSIBILITIES:

  • Provide documentation
  • Monthly to keep timesheets for employees based on the work schedule prepared by the managers of the structural units of E&M Department, correct it if necessary and provide in a timely manner to the relevant Departments.
  • Within the competence and in accordance with established procedure, to organize trips for employees working in shift operation, as well as the following items to carry out duties in relation to foreign partners, visitors from other organizations
  • To correspond with foreign and local offices about employees duty trips , arranging letters of invitation and Visas.
  • To establish requisitions and track their status in ERP system by entering application based on the certificate of completion and in accordance with established procedure.
  • To create an application for registration of hired employees on individual gaps in restricted area of the IAA, as well as to issue transport permit for the movement of special equipment and official vehicles on the territory of the IAA
  • To create and send  applications in to Aviation Services of the Airline for a flight permits of employees of E&M Department
  • To make out letters –requests for the granting of rights to drive vehicles on the territory of AAT
  • Organization of the business meetings on behalf of manager and a Head of Department.
  • Maintaining and monitoring the process of ordering and issuing the uniform to the employees of E&M Department
  • Coordinate, check and validate all received invoices and all supporting documents for payment according to the approved payment policy.
  • Prepare the departmental annual and business plan budget. To monitor the budget on a regular basis, analyze the variance, and explain the findings.
  • Negotiate contract terms and conditions with third party training organizations and outside vendors. 
  • Manage contracts process from start to finish, act as liaison between parties. Ensure the contract terms are compliant with Company goals and policy.
  • Monitor contract validity, renew them upon expiration and determine the necessity to amend current contracts.
  • Assist in the departmental tender process by preparing technical specifications for providers; perform analysis of proposal terms and conditions, and preparing comparison matrices when required.
  • Collect and prepare statistical data as related to budget and expenses.
  • Sign documents within the limits of his/her competence.

REQUIREMENTS:

  • Multitasking, planning, meeting deadlines.
  • Skills of collecting and analyzing numerical information.
  • Preferably budgeting skills.
  • Skills of working with Microsoft Office programs (Excel - the ability to conduct various calculations and the preparation of comparative matrices using formulas and functions, building graphs and charts, the ability to reflect and analyze data. Word, Outlook is a confident user).
  • Experience of work with Oracle ERP, AIMS - preferably.
  • Negotiation skills.
