Description

RESPONSIBILITIES:

  • Organize and maintain document flow in the department (register, systematize all incoming and outgoing correspondence), send the necessary materials to the head or specific performers, in accordance with the adopted regulations.
  • Prepare the necessary documents and materials for the immediate supervisor.
  • Organize telephone conversations and other meetings of the immediate supervisor; register in his absence all the information received, bring to the attention of the immediate supervisor in full.
  • Prepare everything for meetings held by the direct supervisor (collecting the necessary materials, notifying participants of the time, place and agenda)
  • Compose letters, requests, other documents, prepare responses to letters on behalf of the immediate supervisor.
  • Monitor compliance with the deadlines for the implementation of instructions from the direct supervisor.
  • Organize the reception of visitors, assist in the prompt consideration of requests from employees.
  • Fill out all internal applications in the BPS system according to the requests of the immediate supervisor and department employees. Monitor the timely processing of applications.
  • Timely submit to the financial department all documents for payment for goods and services (PJF, CJF, invoice, act, etc.) purchased at the expense of the department's cost center, report on the expenses of the department's corporate card. Monitor the timely delivery of advance reports by department employees.
  • Organize business trips for the head and, if necessary, employees of the department (booking tickets, hotels, transfers, preparing the necessary documents for business trips).
  • Timely submit a package of documents to the internal security service for renewal and obtaining passes to the airport territory for department employees.
  • Perform oral and written translations on behalf of the immediate supervisor.
  • Organize and control the process of consideration and signing of standard contracts on the instructions of the immediate supervisor.
  • Prepare and submit timely necessary documents to other departments.
  • Follow the established procedures for the nomenclature of cases and the deadlines for submitting documents to the corporate archive.
  • Maintain monthly timesheets for the entire department and submit them to the Human Resources and Administration Department in a timely manner.
  • Consolidate all necessary information for the department budget.
  • Organize the provision of stationery, consumables and other inventory items necessary for the work of the head and employees of the department.
  • Carry out other duties according to the profile and specifics of the department's activities.

REQUIREMENTS:

  • Russian - fluent, English - intermediate, Kazakh - intermediate.
  • Proficiency in written and oral communication.
  • Knowledge of business organization.
  • Knowledge of systematization and storage of service documentation.
  • Activity, attentiveness, diligence, time management, desire to learn and grow
  • Knowledge of PC and office applications at the advanced user level.
